Role Summary

The Financial & Operations Director oversees the financial integrity, operational infrastructure, and real estate portfolio of a private family office and its related entities. This role ensures the capital, entities, reporting, and systems operate with institutional-level accuracy, compliance, strategic insight, and long-term optimization.

What would I be doing?

Key Responsibilities

Financial Management & Accounting

  • Oversee accounting, reconciliations, monthly close, and entity bookkeeping.
  • Build budgets, forecasts, cash flow models, and reporting dashboards.
  • Manage bill-pay, payroll, vendor payments, reimbursements.
  • Track household, real estate, philanthropic, and business expenses.

Investment Management

  • Maintain investment tracking (IRR, TVPI, DPI, capital calls, distributions).
  • Prepare diligence on VC, PE, real estate, and alternative investments.
  • Manage relationships with fund managers, bankers, and advisors.
  • Support investment memos, portfolio modeling, and scenario planning.

Tax, Legal & Compliance

  • Coordinate quarterly estimated taxes and year-end filings.
  • Maintain entity documents, registered agents, insurance, renewals.
  • Organize trust, estate, corporate filings, and compliance calendars.
  • Support foundation regulatory filings (990-PF, audits, grant documentation).

Operations

  • Build financial processes, controls, and SOPs.
  • Improve systems (QuickBooks, Carta, Navan, Notion, Airtable, etc.).
  • Monitor risk, cybersecurity, insurance, and internal audit frameworks.

What would make me qualified?

Required Experience

  • 7+ years in finance, accounting, operations, or investment roles.
  • Family office, private equity, venture capital, or UHNW experience preferred.
  • Strong financial modeling skills and comfort with multi-entity structures.
  • Ability to maintain confidentiality, discretion, and precision.
